IT Security - Service Tower Planner
The Service Tower Planner (STP) is a leadership role responsible for
coordinating work intake and project execution within a UHT Service Tower. The
STP is responsible for all project request (estimating/), as well as ensuring
that active projects have accurate/updated project plans, project charters and
any other artifacts as required by the Project Office or Service Towers.
Additionally, the STP has primary scorecard oversight for the Service Tower and
acts as the liaison to the Project Office as a single point of contact for many
communication issues.
The STP is required to attend the weekly UHT Project Review meetings,
host/attend internal Service Tower Project Review meetings and understand all
Service Tower related efforts (OM, Work Order, Project). The STP receives
training from the UHT Project Office and trains and coaches the PMs and
functional managers in their Service Tower. STP should have 8+ years of
project management and 3+ years of program management. Demonstrated aptitude
and experience with MS Project and Project Server is required.
STP responsibilities for managing the execution and training of the UHT Work
Management standards and practices include:
Work Intake process (Projects and Service Requests)
Attend twice-weekly UHT PMO Project review meeting and UT Triage meetings (as
needed)
Review and approve distribution of requests across Service Towers
Review MPL status
Estimation Process
Coordinates Service Tower response to requests for Estimation
Ensures timely and complete responses/Estimations at various stages of
lifecycle
Provide estimates in support of other Service Tower project requests
Confirm estimates for “in-Estimation” projects to become
Active projects
Resource Allocation
Coordinates ST resource forecast, and gives insight into allocation and
assignment processes to ensure customer requests can be achieved within
available labor capacity
Coordinates Service Tower resource assignments for internal project
requirements
Collaborates with other STP’s to coordinate ST resource assignments
Utilizes available Project Server and Reporting tools to ensure accuracy of
schedules
Updates ST resource list, coordinating with Project Office for updates to
Resource Pool
Maintain Project Status in MS Project, Project Server and Prompt
Project classification (Active, In Estimation, On Hold, To Be Scheduled,
Opportunity)
Reviews schedules, activities and resources in Project Server
Responsible for ST compliance and management of IDBP (i.e., timely and accurate
submission of project milestones and artifacts)
Project Charters and other required artifacts
Project Plans (including incremental updates)
Adherence to required Checkpoints
Scorecard Updates (Individual project, Service Tower and Project Closure)
Service Tower specific internal reporting and documentation
Communicating/providing the training and coaching for the implementation and
use of project tools
Mentor project management office proficiency within the Service Tower
Use of MS Project
On-line project reporting
Estimation template
Planning templates
Work Breakdown Structure (Infrastructure Design & Build Process)
Host Service Tower internal weekly review meeting
Project prioritization and approval process (as applicable within the
tower)
Review and coordinate inbound requests
Review and analyze project artifacts (Estimates, charters, etc.)
Time tracking
SME (General Q A) -- Level 1 for Service Tower Inquiry
Resolution/Determination of proper time categorization
Report receipt and distribution
Service Tower user administration (Adds/Deletes)
OM Systems List administration (Adds/Deletes)
Attend external Service Tower project review meetings
Obtain estimates for projects dependent on other Service Tower
resources
Other Service Tower Responsibilities
Manage internal Service Request processes
Manage deployment process (as applicable within the tower)
Contribute as function/team member
Randomly attend and provide feedback on Project Managers Checkpoint
meetings
